How Much Does It Cost to Organize a Company Retreat in Portugal?

    Pricing guide · 2026

A realistic, component-by-component breakdown of 2026 prices: accommodation, food, activities and transfers, so you can budget your team retreat before you ever get on a call with us. It's how we price every one of the company retreats in Portugal we plan.

A typical 3-day company retreat in Portugal runs €700–€4,000+ per person, all-in. That covers accommodation, meals, activities, ground transfers, and meeting space: everything except international flights. It works out to roughly €230–€1,300 per person per day. Where you land depends on five things: group size, season, location, hotel standard, and how packed the activity programme is.

    The snapshot

What's the all-in cost per person for a retreat in Portugal?

Three realistic tiers most teams choose between. The middle tier is where most retreats land.

    Lean & social

    €230–€500
    per person / day · 3-day retreat €700–€1,500

Boutique hotel or villa takeover, simple but well-chosen activities, group dinners at great-value local restaurants.

    Mid-range

    €400–€830
    per person / day · 3-day retreat €1,200–€2,500

4-star hotel or full villa takeover, curated activity programme, a couple of standout group dinners, dedicated meeting space.

    High-end

    €670–€1,330+
    per person / day · 3-day retreat €2,000–€4,000+

Design hotel or 5-star estate, premium and private experiences, chef-led meals, seamless logistics.

    The five levers

What actually drives the cost of a retreat?

    Group size

Below about 15 people you lose villa-takeover and group-rate efficiency, so per-person cost rises. The sweet spot for value is roughly 20 to 60.

    Season

May, June and September are peak. July and August are hot and 20–40% pricier on the coast. November to March is the value window.

    Location

The coast in summer commands a premium. The interior (Alentejo, Douro, Central Portugal) and Porto are noticeably gentler on budget.

    Hotel standard

The single biggest line item, and the easiest lever to move up or down without hurting the experience.

    Programme intensity

A reset-style retreat with two activities costs far less than a packed agenda of private charters and chef dinners.

    Accommodation

    How much does accommodation cost?

Accommodation is the largest single cost in most retreats. Based on single rooms (one per person), which we treat as standard, expect roughly €70–€130 per person per night at the simple end and €280–€600+ per person per night for design hotels and 5-star estates. Not sure which kind of property fits? Compare the types of retreat venue in Portugal.

A whitewashed Portuguese villa with blue details in summer sun

    Simple (3-star, guesthouse, aparthotel)

    €70–€130per night · single room

Lean retreats, younger teams, value priority

    Boutique / 4-star

    €130–€240per night · single room

The default for most company retreats

    5-star / design hotel

    €280–€600+per night · single room

    Leadership offsites, client-facing brands

    Private villa or quinta takeover

    €1,500–€8,000+per night · whole property

12–40 people, cohesion and privacy in one place

A villa takeover often beats a hotel block on both cost and togetherness once you're past about 15 people: the whole group lives, works, and eats under one roof.

All figures assume single rooms, one per person, which we treat as standard. Sharing rooms brings the per-person cost down, and we're happy to plan it that way if your team prefers.

    Food & drink

How much should you budget for food and drink?

Plan roughly €50–€90 per person per day for a lean food programme, €90–€150 for mid-range, and €150–€250+ per day when you want standout group dinners or a fine-dining night.

    Per-meal, per-person food costs in Portugal (2026)
    Meal typePer person
Traditional lunch (prato do dia, tascas)€17–€25
    Casual group dinner€25–€40
    Standout group dinner€50–€90
Fine dining / Michelin tasting menu€120–€250
Coffee breaks & working lunches (per day)€20–€40

Rule of thumb: budget one standout dinner per two retreat days. It's where the lasting memories cluster, and it lets you keep the other meals relaxed and affordable.

    Activities

How much do retreat activities cost per person?

Most group activities in Portugal run €30–€120 per person. Private charters and specialist experiences sit higher and are usually priced per group.

Most providers offer group discounts for larger teams, so for groups of 20 or more the per-person prices below typically come down.

    Surf €75
    Wine €60
    Fado €65

Surf lesson €75 + wine tasting €60 + fado night €65 = €200 pp. A balanced 3-day retreat usually budgets €120–€350 per person for the activity programme.

    Transport

How much are airport transfers and local transport?

Budget roughly €15–€40 per person for airport transfers, depending on group size and how far the venue is from the airport.

Private minivan (up to 6–8) to central Lisbon or Porto
    €10–€15 pp€60–€90 / vehicle
Uber / Bolt from the airport (Lisbon or Porto), per car up to 4
    €3–€6 pp€10–€20 / car
Metro from the airport (Lisbon or Porto) to the city
    €1.80–€2.85 pp€1.80–€2.85 / person
    Shared shuttle
    €12–€22 pp€12–€22 / person
    Private coach (30–55 people)
    €10–€20 pp€350–€600 / coach
Long transfer (Lisbon airport to the Algarve)
    €20–€40 pp€600–€1,200 / coach

When people arrive at scattered times, an Uber or Bolt, or the metro, is often simpler than a single group transfer. Both Lisbon and Porto have a metro line straight from the airport. Within the retreat, factor in local transport too, often a coach or minivan on standby (about €400–€800 per day for a coach).

    Meeting space

What about meeting space and facilitation?

A dedicated meeting room runs about €300–€1,500 per day depending on size and venue. Many hotels fold it into a day-delegate rate of roughly €40–€90 per person per day that also covers coffee breaks and lunch.

Hotel day-delegate rate (room + AV + breaks + lunch)
    €40–€90 per person / day
    Standalone meeting-room hire
    €300–€1,500 per day

Often €0 extra (part of the takeover)

    Region matters

How does the region change the price?

Some costs barely move with location. A surf lesson or a cooking class is much the same nationwide. Others swing a lot with the season, especially accommodation. Each bar below shows a typical hotel rate per person per night, from each region's quietest season (left) to its peak (right). The longer the bar, the bigger the seasonal swing.

    Beira Interior€90–€130
Remote and rural, the lowest-cost option, with a gentle seasonal swing
    Alentejo€110–€150
Great value: villa takeovers and quintas, with a modest swing
    Porto & Douro€120–€170
Better value than Lisbon for similar quality
    Azores or Madeira€130–€175
Near average and the least seasonal, but add island flight cost
    Lisbon Region€140–€230
Strong air access and high demand, with a clear summer premium
    Algarve€120–€300
The biggest swing: cheap in winter, peak resort pricing in Jul–Aug
    €50€175€300
Low season (each bar's left end)Peak season (right end)

As a rule of thumb, the same retreat in Alentejo or Porto can run 20–35% cheaper than coastal Lisbon or the Algarve in high season, mostly on accommodation. You can see this on our destination pages: a 3-day Alentejo retreat starts around €700 per person and Porto & the Douro around €750, versus roughly €900 for the same tier in Lisbon and €800 in the Algarve, where the July–August peak swings hardest.

    Smart savings

Where can you save without it feeling cheap?

Travel in the shoulder or off-season

April to June and September to October give near-peak weather at lower rates. November to March is the real value window.

Choose the interior or Porto over the summer coast

Same quality of experience, materially lower accommodation cost.

Take over a villa instead of a hotel block

Once you're past about 15 people: better cohesion, often lower per-person cost.

Concentrate spend on one standout dinner

Rather than going premium on every meal. That's where the lasting memories cluster.

Pick a venue close to the airport

Cuts transfer cost and travel fatigue in one move.

Keep the group together in one place

Less transport, simpler logistics, lower cost, and usually a better retreat.

    Fees

Why you won't find a fixed fee here

You won't find a fixed fee on this page, and that's deliberate. Every retreat we plan is different. The venue, the group, the season, and how much of the logistics you want us to handle all shape the work involved, so no single number could be fair across such different briefs.

Rather than publish a figure that would be misleading, we do this: after a short discovery call we send you a proposal with our fee stated plainly and itemized alongside every other cost. Full transparency, no markup games, no surprises, once we understand what your retreat actually needs.

    FAQ

    Frequently asked questions

A typical 3-day retreat runs €700–€4,000+ per person all-in: accommodation, meals, activities, ground transfers, and meeting space. That works out to roughly €230–€1,300 per person per day. Where you land depends on hotel standard, season, location, group size, and programme. International flights are separate.

Generally yes. Portugal offers Western-European quality and infrastructure at noticeably lower accommodation and dining costs than France, Italy, or the Alps, particularly outside peak summer and away from the Algarve coast.

November through March is the best value, with March, April, September and October offering the best balance of price and weather. July and August on the coast are the most expensive.

Most hotels bundle conference catering into a day-delegate rate of roughly €40–€90 per person per day, which covers the meeting room, AV, two coffee breaks, and a working lunch. Booked separately, budget about €20–€40 per person per day for coffee breaks and a working lunch combined, €25–€40 per person for a casual group dinner, and €50–€90 per person for a standout dinner with better wine and a private area. A fine-dining or Michelin tasting menu runs €120–€250 per person before wine pairing. Premium drinks packages and gala setups sit on top.

No. Teams fly in from their own cities, so flights vary too much to include. Every other on-the-ground cost (accommodation, meals, activities, transfers, meeting space) is what our budgets cover.

Every retreat is different, so we don't publish a fixed fee. The venue, group size, season, and logistics all shape the work involved. After a short discovery call we send a proposal with our fee stated plainly and itemized alongside every other cost.

From around 8 people (executive offsites) up to 200+ (full company retreats). Per-person cost is most efficient in the 20 to 60 range.

Yes. Tell us your per-person or total budget and we'll design the best possible retreat within it, and tell you honestly if a target isn't realistic for the dates or group size.
